Who this covers
This policy explains how Dance Connection AI handles information about studio operators, instructors, students, guardians, event guests and website visitors. For privacy requests, contact brianpicard@danceconnectionai.com.
Information we process
Depending on features used, we process names, contact details, account and studio affiliations, appointments, lesson and class records, payment status, competition information, submitted files, AI prompts and outputs, and optional recordings or transcripts. Guardian contact details and information about minors may also be provided. Technical information needed for login, security and service operation may be collected automatically.
Where information comes from
Information may come from you, your studio or instructor, booking participants, connected services, payment processors and technical service logs.
Purposes
We use information to operate accounts, bookings, lesson tracking, AI-assisted features, communications, subscriptions, customer support, fraud prevention and security. Studios may control and determine what student information they enter into the service.
Service providers
We use infrastructure, authentication, payments, email and AI/transcription service providers as needed to operate selected features. Data submitted to AI features may be transmitted to third-party processors. Our current implementation uses services including Supabase, Stripe and AI providers; the exact provider and handling can vary by feature. We do not promise a particular provider's training or retention practices without a verified contractual basis.
Recordings and AI
Audio may be uploaded for transcription and processing when recording features are used. Recording consent must be obtained by the person initiating recording. Some derived notes or transcripts may persist in the account and backups according to feature-specific behavior; do not assume all copies disappear immediately when recording stops.
Sharing
Information is available to authorized studio personnel and other participants according to feature permissions; booking and student information may be shared through portals or links. We may disclose information when required by law or to protect the service. Payment-card details are handled through the payment provider rather than entered directly into our database.
Retention and deletion
We retain information while needed to provide the service and for legitimate security, financial, operational or legal requirements. Retention varies by data category and feature. Ask us about deletion, correction or access at brianpicard@danceconnectionai.com; some information may need to be retained where law permits or requires.
Security
We use authentication, access controls and service-provider safeguards intended to protect data. No online system is perfectly secure. Tell us immediately if you suspect unauthorized access.
Rights and choices
Depending on your location, you may have rights to access, correct, delete or obtain information and to object to certain processing. Contact us with a request; we may verify identity and may direct studio-controlled student-data requests to the relevant studio. Where legally required, we provide additional privacy notices or choices.
Children and guardians
DCAI is a business tool for instructors and studios, not a service intended for children to register independently. Studios and guardians are responsible for appropriate authorizations when information about minors is entered or when recording features are used.
Cookies and site technology
We use essential cookies and similar technologies for login, session continuity and application security. Additional analytics or marketing technologies, if enabled, should be described through an updated notice and applicable consent choices.
